Consent to the Processing of Personal Data

Legal basis: law of Ukraine “On the protection of personal data” No. 2297-VI (as amended on June 14, 2025) | Law of Ukraine “On electronic commerce” | Law of Ukraine “On information.”
This Privacy Policy describes what personal data Sunday Village (https://sunday-village.com.ua/) collects and processes, for what purpose, on what grounds, and for how long, as well as what rights Users have as data subjects.
This Policy is an integral part of the Agreement on the Provision of temporary accommodation services (Public offer) in the event that it is concluded.
1. Purpose of personal data processing
Personal data is processed for the following purposes:
– to fulfill the terms of the Agreement on the Provision of Temporary Accommodation Services (Public Offer);
– to maintain registration and tax records in accordance with the requirements of Ukrainian law;
– to ensure security on the premises of Sunday Village;
– to process feedback requests and reservations.
2. Legal basis for the processing of personal data
Personal data is processed based on the consent of the User, who knowingly provides their personal data:
– in the relevant online form on the sunday-village.com.ua website;
– in the registration form at the front desk upon check-in;
– in the feedback form on the website.
A separate basis for processing is compliance with legal requirements (Article 11 of Law No. 2297-VI) — specifically regarding fiscal and registration records.
3. Scope of personal data
Sunday Village collects only the personal data that is strictly necessary to achieve the purpose of processing (the principle of data minimization, Article 6 of Law No. 2297-VI). Such data includes:
– last name, first name, patronymic;
– date of birth;
– contact phone number;
– email address;
– details of the identity document (type of document, series, number, issuing authority);
– vehicle information (make, model, license plate number) — if available;
– information voluntarily provided in the feedback form on the website.
No other personal data not listed here is collected.
4. Processing procedures and retention periods
4.1. Personal data is collected, compiled, and stored in digital (electronic) form on Sunday Village’s secure data storage media.
4.2. Retention periods for personal data:
– guest registration records and data necessary for the performance of the Agreement — 3 (three) years from the date of completion of service provision (in accordance with Article 257 of the Civil Code of Ukraine — general statute of limitations);
– fiscal documents and accounting records — 5 (five) years in accordance with Article 44.3 of the Tax Code of Ukraine;
– video surveillance data — 30 (thirty) calendar days from the date of recording;
– analytical data (cookies) — up to 13 months from the date of collection.
4.3. Upon expiration of the aforementioned periods, personal data shall be destroyed or anonymized. The modification, deletion, or destruction of personal data shall be carried out at the discretion of Sunday Village or at the User’s request.
5. Disclosure of personal data to third parties
5.1. Users’ personal data may be disclosed to third parties only in the following cases:
– upon a lawful written request from government authorities authorized by law to receive such data;
– to payment systems—exclusively to the extent necessary for processing payments under the Agreement.
5.2. In all other cases, personal data shall not be transferred to third parties without the User’s explicit prior consent.
5.3. The use of analytics services (Google Analytics) and marketing tools (Facebook Pixel) may involve the transfer of anonymized data to Google and Meta Platforms servers located in the EU and the U.S., in accordance with these companies’ standard contractual clauses. Such transfer is carried out exclusively with the User’s explicit consent (via the website’s cookie banner).
6. Personal data protection measures
6.1. Sunday Village implements organizational and technical measures to protect personal data from unauthorized access, accidental loss, unlawful destruction, or unauthorized alteration.
6.2. In the event of a data breach or unauthorized access to personal data, Sunday Village undertakes to:
– immediately take measures to address the causes and consequences of the breach;
– notify the Ukrainian Parliament Commissioner for Human Rights within 72 hours in accordance with established procedures;
– notify Users whose personal data has been compromised if the breach could cause them harm or violate their rights.
7. User consent to the processing of personal data
By providing personal data in any form on the sunday-village.com.ua website or via the registration form at the Sunday Village reception desk, the User thereby gives their voluntary, specific, and informed consent to the processing of their personal data in accordance with the terms of this Policy.
Consent is granted for the period determined by the purpose of processing: for the duration of the Agreement and for 3 (three) years after its termination. Upon expiration of this period, personal data shall be destroyed or anonymized, unless otherwise required by the laws of Ukraine.
Consent may be withdrawn by the User at any time by sending a written request to sundayvillage.manager@gmail.com. Withdrawal of consent does not affect the lawfulness of processing carried out prior to the withdrawal.
8. User rights as a data subject
In accordance with the Law of Ukraine “On the Protection of Personal Data” No. 2297-VI, the User has the right to:
– know the sources of collection, the location of their personal data, and the purpose of its processing;
– receive information about the conditions for granting access to personal data, including information about third parties to whom their data is transferred;
– have unimpeded access to their personal data;
– receive a response from Sunday Village regarding the processing of their data no later than 30 (thirty) calendar days from the date of receipt of the request;
– submit a reasoned request to modify or delete their personal data if it is being processed unlawfully or is inaccurate;
– request the deletion of their personal data if it is no longer necessary for the purpose for which it was collected (“right to be forgotten”);
– withdraw consent to the processing of personal data at any time;
– file complaints regarding the processing of their personal data with the Ukrainian Parliament Commissioner for Human Rights or with a court;
– seek legal remedies in the event of a violation of personal data protection laws.

9. Personal data of minors
Sunday Village processes the personal data of minors (under 18 years of age) solely to the extent necessary to provide temporary accommodation services (last name, first name, date of birth, age).
The processing of minors’ personal data is carried out exclusively with the consent of their parents or legal guardians, provided at the time of concluding the Agreement. The fact that the Registration Form is signed by a parent or legal guardian confirms the provision of such consent.
10. Data processing using cookies and analytics tools
When using the sunday-village.com.ua website, the following categories of cookies and trackers may be used:
10.1. Essential (technical) cookies — ensure the basic functioning of the website: navigation, booking forms, language settings. Stored exclusively for the duration of the session or up to 12 months. Do not require separate user consent—they are technically necessary.
10.2. Analytical cookies—Google Analytics (provider: Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland). Tracking website traffic and user behavior to improve service quality. Data may be transferred to Google servers, including outside the EU (to the U.S.), in accordance with Google’s standard contractual clauses. Retention period: up to 13 months. 10.3. Marketing (advertising) cookies — Facebook Pixel (provider: Meta Platforms Ireland Ltd., 4 Grand Canal Square, Dublin 2, Ireland). Tracking the effectiveness of advertising campaigns and retargeting. Data may be transferred to Meta Platforms, Inc. (U.S.) in accordance with Meta’s standard contractual clauses. 10.4. Managing cookies: Users may grant or withdraw their consent to the use of analytical and marketing cookies at any time through their browser settings. Opting out of analytical and marketing cookies does not affect the ability to use the website’s core functionality.
11. Changes to the privacy policy
Sunday Village reserves the right to make changes to this Privacy Policy. The new version takes effect upon its publication on the website sunday-village.com.ua. Continued use of the website or Sunday Village services after the publication of the new version of the Policy constitutes the User’s consent to the changes made.
